Early coordination can help protect the data, processes and communications your program depends on.
A core conversion affects much more than the technology behind an overdraft program. Account data has to transfer correctly. Program settings need to work the way employees and account holders expect. Reports, disclosures, notices and staff access all have to continue without interruption.
With so many moving parts, it is easy for details affecting your overdraft program to slip down the project list. That is when issues can surface: overdraft criteria may be configured incorrectly, accounts may receive the wrong status or limit, fees may not be assessed as expected, or reports may no longer be accurate.
Three months before conversion is generally a safe minimum for involving ADVANTAGE. Earlier is better. Most institutions know about a core change well in advance, so a quick conversation at the beginning helps us determine how much lead time the project will actually require. It also gives us an opportunity to join the discussion before the core team begins configuring the overdraft module.
One of the most common mistakes is assuming account information will transfer from the old core without meaningful changes. Fields can shift within the extract file. Status codes may be defined differently. Data can also be carried into the new system incorrectly during the conversion.
Consider an institution that uses 12 overdraft status codes today but is moving to a core that supports only five. Where will each existing status go? If no one works through that question in advance, important account distinctions can disappear in the conversion.
With enough lead time, ADVANTAGE can clone your institution’s Privilege Manager CRM site and map the new file layout before go-live. That gives us a place to review the incoming data, test the mapping and alert your team when balances, limits, fields or status codes do not look correct. It may not always be an ADVANTAGE file issue, but the review gives your institution another set of eyes on the data before it reaches the live program.
A clean extract file does not confirm that every part of the program will operate correctly. Testing should also confirm how the new core handles Good Funds, recurring debit card transactions, re-presented items and posting order.
Limit Manager rules and the integration with the new core should be reviewed to ensure account limits continue to reflect your program criteria. If you plan to rely solely on automation within the core, ADVANTAGE can still help review the settings to confirm they align with your overdraft program.
Complete as much setup and testing as possible before the conversion, then monitor the program closely after go-live. Some issues may not become visible until after launch. Without that follow-through, the first sign of a problem may be an account-holder question or an employee trying to explain an unexpected change.

Use our Core Conversion Overdraft Readiness Checklist to review key data, testing, reporting, communication and post-launch considerations with your team.
Download the Checklist →Reporting can easily become an afterthought. Before conversion, confirm what information is needed for Financial Tracking reports and how accounts will be identified across the two systems. Keeping the same or similar account numbers, when the new core allows it, can make reconciliation easier. Once the conversion is live, it’s important to compare reports with the new core and check whether overdrawn accounts, limits, fees and overdraft status codes appear as expected.
The same review should also cover your program’s compliance and communication processes. How will Reg E confirmation notices be generated? Are periodic mailings still scheduled? Are you changing disclosure vendors or revising any disclosure language? Could changes associated with the new core create conflicting language in account disclosures, program letters or notices?
Pro Tip: If the conversion requires coordinated communications across a large number of accounts, ADVANTAGE Direct can help streamline delivery while your team remains focused on the conversion. Ask your ADVANTAGE representative about available communication support.
User access and staff preparation should also be addressed before launch. Confirm that employees have the appropriate Privilege Manager CRM permissions and that branch definitions are complete. Staff who handle account holder questions should know where overdraft status and limit information appear and which system to use when researching a change.
By launch day, the team is usually tired of talking about the conversion. That is understandable. Core conversions are exhausting. It is also when continued attention matters most.
During the first days and weeks, watch recurring debit card transactions, Good Funds, re-presentments and posting behavior. Your ADVANTAGE team can help review whether Limit Manager rules are working properly and whether accounts in Privilege Manager CRM look right overall, including overdrawn accounts, limits and status codes. Program income should also be monitored to confirm that fees continue to be assessed as expected.
We have seen institutions step away after launch and reconnect only after they begin experiencing issues. From experience, staying in touch makes it easier to catch a discrepancy early, determine whether it originates in the core, the converted data or the file mapping, and address it before it affects more accounts.
A core provider knows its system, but its conversion team may not know the details of your existing overdraft program. It may not account for your eligibility criteria, account treatment, communication practices or compliance expectations when recommending module settings. Having ADVANTAGE participate in those discussions helps connect the new configuration to the program already in place.
The core team’s role will eventually end. Our work with your institution continues. We remain involved to help monitor your program, review communications and documents, and support the team as questions arise after conversion. If you’re discussing a core conversion or it’s already set in motion, let your ADVANTAGE relationship manager know. Even if regular meetings do not need to begin immediately, early notice gives everyone time to prepare for the details that are easiest to miss.
